Responsibilities of the Role

Being a Deacon at Triumph Church is more than a title. It is a calling that requires your time, your presence, and your commitment. These are the standards we hold to โ€” not to burden you, but to help you serve well and stay connected to the people God has placed in your care.

๐Ÿ›๏ธ
85%
Deacon Meeting Attendance
Show up to at least 85 out of every 100 scheduled Deacon meetings. When you are in the room, your voice matters and your presence strengthens the team.
โ›ช
75%
Sunday Worship Attendance
Be in church for at least 75 out of every 100 Sunday services. The congregation looks to their Deacons as an example. Being present sends a message that this church is worth showing up for.
๐Ÿ“–
85%
Bible Study Attendance
Attend Bible Study regularly โ€” at least 85 out of every 100 sessions. To shepherd people well, you have to stay grounded in the Word yourself.
ADDITIONAL COMMITMENTS โ€” ALL DEACONS
โœฆ
Work together as a team under the leadership of your Pastor and Church. We move as one. What divides the Deacon Board divides the church โ€” so we stay unified and operate under authority.
โœฆ
Join and actively participate in at least one of Triumph's Small Groups. You cannot ask members to do what you are not doing yourself. Lead by example in community.
โœฆ
Regularly pray for the members and stay in contact with them. Your personal touch โ€” a phone call, a check-in, a kind word โ€” is something no technology can replace. That is your ministry.

The Deacon Drive

The Triumph Deacon Google Drive is a shared online folder where all your important ministry documents live. Meeting notes, care forms, devotionals, training materials โ€” it is all in one place and always up to date. Here is how it works and how to get in.

๐Ÿ“

Triumph Deacon Ministry โ€” Shared Drive

Think of this Drive as the Deacon Board's digital filing cabinet โ€” except it is always organized, always up to date, and you can access it from your phone or computer anywhere. It holds meeting agendas, training materials, member care forms, prayer request templates, devotional guides, and ministry planning documents. Once you have access, you can view and use anything in it from your own Google account.

๐Ÿ“‚ Open the Deacon Drive  โ†’
// HOW THE DRIVE WORKS
STEP 01 โ€” EASY TO NAVIGATE
Everything Has Its Own Folder
Documents are sorted into labeled folders โ€” Meeting Notes, Care Resources, Bible Studies, Training, Forms, and Leadership Documents. You do not have to search through a pile of files. Just click the folder you need.
STEP 02 โ€” WORKS TOGETHER
Deacons Can All Use It at Once
Multiple deacons can open and read documents at the same time. When leadership updates a meeting agenda or adds a new form, everyone sees it right away. No more outdated copies floating around in email.
STEP 03 โ€” PRIVATE AND SECURE
Not Open to the Public
This Drive is not open to everyone. Only approved Triumph Deacons have access. This keeps member information, care notes, and private ministry documents safe and in the right hands.
STEP 04 โ€” ALWAYS FRESH
Documents Stay Updated
Leadership keeps everything current after every meeting, training, or care event. When you open a document, you are always looking at the latest version โ€” not something from six months ago.
๐Ÿ”
How to Get Access to the Deacon Drive: Every Deacon needs to submit their Google email address (a Gmail address or any Google-linked email) to the Digital Director or the Deacon Chairperson. Once your email is added, the Drive will show up in your Google Drive under "Shared with me." If you do not have a Google account, you can create one for free at google.com โ€” then send your email to leadership to be added.

Deacon Ministry Tools

These tools use technology to help Deacons do the work they are already doing โ€” just with less guesswork and less falling through the cracks. They handle the tracking and reminders so you can focus on the people.

// TOOL 01
๐Ÿ›๏ธ
"Always know the condition of our building."
Building & Property Dashboard
This tool keeps track of everything related to the church building โ€” inspection reports, insurance papers, maintenance records, and floor plans โ€” all stored in one place and easy to find. It reads through those documents and gives you real alerts, like letting you know when a warranty is about to run out or when a roof inspection is overdue. It can even help line up quotes from local contractors automatically. Instead of digging through paperwork, Deacons and Trustees get a simple dashboard that shows the real condition of the building at a glance.
Insurance Tracking Warranty Alerts Maintenance Scheduling Contractor Quotes Utility Monitoring
// TOOL 02
๐Ÿ“ฃ
"Show people the real difference their giving makes."
Ministry Impact Storyteller
A lot of churches have a hard time putting into words why giving and serving actually matters. This tool takes real information โ€” how many people attended, which projects got funded, how many volunteer hours were logged, testimonies people shared โ€” and turns it into stories and reports that are ready to share. It has learned how Triumph Church talks, so the content sounds like us. Deacons can review and approve a full giving campaign in minutes. It can also show members what their continued giving could look like five years from now, making the act of generosity feel real and meaningful.

// TOOL 03
๐Ÿ™
"No prayer request goes unanswered."
Prayer Request & Follow-Up Tracker
When someone submits a prayer request โ€” through the bulletin, the website, or a text line โ€” this tool automatically saves it and assigns it to the right Deacon based on their area and availability. If that member has not heard from anyone in 7 days, the system sends a gentle reminder to follow up. It also puts together a ready-to-use care note so the Deacon knows what to say. At the end of each month, it produces a simple report showing how many prayer needs came in, how many were followed up on, and how many people reported back with good news. Staying in touch with the people who reach out is one of the most important things a Deacon can do โ€” this tool makes sure nothing gets missed.

// TOOL 04
๐Ÿ‘ฅ
"Every new member gets a Deacon in their corner."
New Member Connection Tracker
Research shows that when someone joins a church and does not build real relationships within the first 90 days, they are very likely to stop coming. This tool watches for every new member who joins โ€” whether they came in person or found us online โ€” and kicks off a 90-day welcome plan. That includes assigning a Deacon to personally reach out, sending a welcome message, setting up a phone or coffee check-in, and suggesting a Small Group that fits their interests. Deacons can see a live view of how every new member is doing so no one gets lost during those first few important months.
